PROJECT EDGE.

ProjectEDGE, an Extranet application for the entire project life-cycle, is based on its president W. Gary Craig's more than 29 years of experience in private real estate development and providing similar services for corporate, institutional, educational and governmental clients for projects including postal processing & distribution centers, university student and residential housing, shopping centers, office buildings, industrial research complexes, hydroelectric & co-generation plants and warehouses.

Originally developed for managing Edgewater development company projects, ProjectEDGE is based on a benchmark portfolio of more than $600 Million of experience in program management, where successful projects resulted from the entire project team being involved and applying a process approach from the beginning of a project through to its completion.

ProjectEDGE is an electronic communication and collaboration facilitation tool where a self-directed team structure, and the principles of Total Quality Management, partnering, value engineering and converqent engineering can be used in a financially oriented, process-driven methodology for managing projects. ProjectEDGE uses a structure such as the one shown here where the database is a focal point through which each team member communicates with the rest of the team from any location, at any time, using LAN, dial-up, Internet or wireless access. The more the team members share, their information, the more the entire team and the project benefit.

The power of ProjectEDGE is available to Internet users using a browser such as Netscape 4.0 or Internet Explorer 4.0 or higher. Desktop users with the Lotus Notes client software (4.6 or later) can also use

Project EDGE on a LAN as well as on carry-around laptops using dial-up or Internet ISP ProjectEDGE: A Collaborative Project Solution for all Owners and Managers

COMPATIBILITY

ProjectEDGE is compatible with Microsoft products such as Word, Excel, Outlook and other Windows applications such as CAD and the Corel and Lotus suites.

LAN and INTERNET ACCESSIBILITY

ProjectEDGE uses the Domino server technology to provide LAN, dial-up and Internet access to project data according to the user-defined seurity settings. Each authorized team member can participate in the project collaboration from any location, at any time.

MODULAR DESIGN

ProjectEDGE has modules for each of its functional areas: Design and Construction, Leasing and Facility Management. The modules can be selected as needed for each person or company's needs for Core Team "C", Design and Construction "D/C", Leasing "L", and Facility Management "F" responsibilities.

ACTION ITEMS MODULES (C, D/C, L, F)

Action Items can be viewed by date or by responsible party or company. RFIs, submittals, expiring insurance certificates and follow-up items from meetings, correspondence, warranty, and safety violations are examples of Action Items. E-mail notifications are sent to all involved parties as well as to interested parties.

The Action Item module is the pulse of the project or enterprise where all on-going actions can be reviewed and acted upon. A system of color coded icons are used to quickly show the status of each item.

CONTRACT ADMINISTRATION (D/C, F)

The Contract Administration tools include contracts, requests for change, change orders, back charges, purchase orders or work orders, insurance, bonding, lien waivers, retention release and contract close-out. These tools can be used for professional service agreements, construction contracts as well as standing maintenance contracts. Workflow approval routes can be used for all agreement types. The completed documents can be attached for reference.

Bid proposals and tabulations can be managed using the Contract Administration module. Contractor progress and retention release requisitions can also be processed on-line in a workflow driven process that incorporates a template similar to the AIA G702/703 forms. Accounting interfaces are being developed to transfer contract information from ProjectEDGE to popular accounting applications.

COMMUNICATIONS (C, D/C, L, F)

Incoming and outgoing communications such as letters, memos, faxes, transmittals, notes of telephone conversations, or e-mails can be initiated or captured in the database. Other features include Action Item follow-up, form letter generation, envelope and mailing label printing, as well as addressing of all documents by selecting the information contained in the project phonebook. All communication items can have a "draft" and collaborative draft status to allow necessary editing until the author "locks" the item to prevent any additional change.

Conventional word processing applications can be used to generate the correspondence if the user prefers. However, rather than cutting and pasting, most users generate their correspondence directly in ProjectEDGE.

DISCUSSION (C, D/C, L, F)

The threaded discussion component is an interactive tool for collaboration, value engineering, process improvement and building a knowledge base. Readers can respond to posted topics with their comments and suggestions including any supporting attachments. The author, as Process Owner, determines when the issue can be closed and adds codes to create a decision log.

DRAWINGS (D/C, L, F)

Listings of drawings: current or historical, revised, supplemental sketch, or as-built, as well as consultant reports, ASI's and specifications are kept. Drawings can be attached for distribution and viewing as well as non-destructive markup using a browser. Subscribers will be notified of drawing changes. A current drawing list or the drawing file is just a "click away" for any authorized user.

MEETINGS (C, D/C, L, F)

ProjectEDGE allows users to define multiple meeting tracks such as Core Team, Kickoff, Programming, Weekly Project, Commissioning and Closeout Meetings. The database provides an agenda planning tool, as well as note taker forms for use during the meeting.

Both meeting minutes and reader comments can include attachments. One or more Action Items can be tied to each item of the meeting minutes.

ProjectEDGE provides the tools for a virtual meeting in which the participants meet electronically to discuss the topics. Such a virtual meeting frees all the participants from their schedule constraints or physical location by allowing them to participate when they are available. The agenda, meeting discussions, reader comments, Action Items and any attached information are made available to all users having the appropriate security designation.

PHONEBOOK (C, D/C, L, F)

The phonebook which lists all contact information for companies and persons is used to fill out user information throughout the application by simply selecting the company or person from a pull down list. Correspondence can also be created from within the Phonebook for user convenience.

The Phonebook can be copied from a master database or from other projects when needed. The entries can be coded by user-defined categories for such diverse purposes as contractor bid lists or lead tracking.

PUNCHLIST (D/C, F)

Process templates are provided to speed punchlist data collection. Room location and responsibility sorts assist in disseminating and updating. Late items are reported as Action Items until signed off. Palm Pilot interfaces have been developed for field use in creating, viewing and updating punchlists.

PHOTOS (C, D/C, L, F)

Photos and scanned images from a variety of sources can be displayed on the photo pages or in the reports.

REQUESTS FOR INFORMATION (RFI) (D/C, F)

RFIs are sent through the database on workflow routes determined by the users. Routes are setup for each design discipline and for hybrids of several disciplines. The route participants as well as interested parties are notified of the pending and completed actions. RFIs are Action Items and can be coded for the decision log.

SAFETY(D/C, F)

ProjectEDGE tracks and manages safety plans including MSDS sheets, safety violations, and OSHA inspections.

SERVICE (D/C, F)

Warranty administration and occupant HELP DESK service requests are handled in this section of the ProjectEDGE database. Service Request provides a dispatch function for the special non-construction needs of the occupants.

SUBMITTALS (D/C)

ProjectEDGE tracks the submission and routing of submittals and samples on user-defined workflows. Interested parties can be notified of the submittals currently in process. Users can begin with a master listing of expected submittals and samples and use it to develop the specific list for the project. Scanned and/or photographic images or files can be used as attachments to process the submittal electronically at considerable savings of both time and expense.

MANAGEMENT REPORT (C, D/C, L, F)

ProjectEDGE provides a means of integrating financial, schedule, budget, critical issues and project status reporting. Links with popular accounting and scheduling packages are being developed.

The Status Report is designed to provide the on-line equivalent of a printed monthly report for senior management personnel of the owner and project team. A slide show feature can be used for presentations of project information.

LEASING (L, F)

The Leasing Module has similar features to the Contract Modules for managing the entire leasing process from depth charts, letters of intent, proforma generation, lease preparation through to lease execution. Leases can be managed from the perspective of a landlord or tenant.

TENANT HANDBOOK (L, F)

The Tenant Handbook can be used to publish the design standards and occupancy policies for use by tenants and their designers. Updates would be noticed to all subscribers.

PREVENTIVE MAINTENANCE (F)

The Preventive Maintenance series of modules include equipment inventories, preventive schedules including needed materials and work order management.

SEARCHING (C, D/C, L, F)

The entire ProjectEDGE database can be searched for any name, date, word or phrase contained in any of its documents. Searches can be simple or may be based on logical expressions that isolate particular combinations of data.

The users can enhance their ability to search through the database by attaching their own keywords to the documents.

SECURITY (C, D/C, L, F)

User access is based on the roles served by the person on the project. User name, password and role all work together to control access.

ATTACHMENTS (C, D/C, L, F)

Users can attach files of spreadsheets, schedules, accounting reports, word processing and CAD drawings throughout the database. Scanned or other images can also be pasted into the Attachment Fields as images or as files.

AVAILABILITY

ProjectEDGE is available for purchase as a client server database application or monthly subscription fees as a hosted Internet service. Some users may want to consider both to provide LAN, Internet and remote free-standing access to project information by all their team members.
